Privacy Policy

This policy explains what personal information Answerly Desk ("Answerly Desk", "we", "us") collects, why we collect it, and the choices you have. It covers this website (answerlydesk.com) and the AI receptionist service we provide to business clients. We keep this deliberately plain. 1. Who we are

Answerly Desk provides AI-powered front-desk ("virtual receptionist") services for small businesses — answering calls and messages, booking appointments, and following up on a business's behalf. The person responsible for this website and for data handled through it can be reached at hello@answerlydesk.com.

2. Our two roles

We handle personal information in two different capacities, and your rights differ slightly depending on which applies:

a) As a controller — for our website visitors and prospective clients

When you visit this site, book a demo, or contact us, we decide how your information is used. This policy governs that.

b) As a processor — for our clients' customers

When we run an AI receptionist for a business client, we handle that client's customers' information on the client's instructions. In that case the business is the controller and its own privacy policy governs. We process that data only to deliver the service, under our agreement with the client. If you spoke to an AI receptionist and want your information handled or removed, contact the business you called; we will assist that business on request.

We do not run advertising pixels, behavioural-tracking cookies, or analytics profiling on this website.

7. AI and call handling

Our receptionist service uses automated (AI) systems to understand and respond to callers and messagers. Where our service records or transcribes a call, that happens on behalf of the business client operating the line, and callers are informed at the start of the call as required. Automated responses may occasionally be imperfect; a human can be reached for anything important, and the service can hand off to the business's team.

8. International transfers

We operate internationally and our providers (above) are based mainly in the United States. This means your information may be processed outside your country, including in the US. Where required, transfers rely on appropriate safeguards such as the providers' standard contractual clauses.

9. How long we keep it

We keep enquiry and booking information for as long as needed to respond to you and for a reasonable period afterward for our records, then delete or anonymise it. Client-service data is retained per our agreement with each client. You can ask us to delete your information sooner (see Your rights).

10. Your rights

Depending on where you live, you may have the right to access, correct, delete, or restrict use of your personal information, to object to certain processing, to data portability, and to withdraw consent. Residents of California and similar US states may request access or deletion and are entitled not to be discriminated against for exercising those rights; we do not sell or "share" personal information for cross-context advertising. To exercise any right, email hello@answerlydesk.com and we'll respond within the time the law allows. EU/EEA and UK users also have the right to complain to their local data protection authority.

11. Cookies

This site uses only essential cookies, plus a functional cookie set by our booking calendar if you choose to load it. We do not use advertising or analytics cookies. See our Cookie Policy for details.

12. Security

We use reputable providers and reasonable technical and organisational measures to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we work to protect your data and to address any issue promptly.

13. Children

This website and our services are intended for businesses and adults. They are not directed to children, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

14. Changes to this policy

We may update this policy as our business or the law changes. We'll post the new version here with a revised effective date. Significant changes will be highlighted where practical.
